PRIVACY POLICY

Public Website and Business Communications

October 01, 2026 | Version 2.0

This policy describes how The Web Empire LLC ("The Web Empire," "we," "our," or "us") collects, uses, discloses, and protects personal information in connection with our website, inquiries, marketing, client relationships, and related business operations. It should be read together with our Cookie Policy and Website Terms of Use. This policy is not a substitute for any signed client services agreement or a separate data-processing agreement.

1. Scope and our role

This policy applies when you browse thewebempire.us, contact us, request a quote, subscribe to marketing communications, or communicate with us as a client, vendor, or business contact. It also describes information we use for our own business administration.

When we host or maintain a client website or process leads, analytics, advertising, or other information on a client’s behalf, that client may determine the purposes and means of processing. In those circumstances, our obligations may be governed by the client agreement, applicable data-processing terms, and the client’s own privacy notice. Requests concerning information controlled by a client should generally be directed to that client; we will assist as legally and contractually required.

2. Categories of information collected

Contact and professional details: name, business name, job title, email address, phone number, mailing or billing address, website/domain, and details supplied in forms, calls, emails, or meetings.

Inquiry and relationship records: requests, project requirements, communications, proposals, support requests, account and service history, preferences, and CRM records.

Payment and transaction information: invoices, payment status, transaction identifiers, billing details, and limited payment-method metadata. Payments may be handled through Stripe; we do not need to receive full card numbers to process Stripe-hosted transactions. Actual payment integrations and retention should be verified.

Device and usage information: IP address, browser and device characteristics, referring URLs, pages visited, event interactions, approximate location derived from IP, cookie identifiers, advertising identifiers, and security logs, as collected by our systems and third-party tags.

Marketing and advertising information: newsletter preferences, campaign engagement, form conversions, audience and attribution data, and interactions with our advertisements.

Other information you choose to provide: files, website credentials or project materials where specifically required for services. Please do not send sensitive information through general contact forms.

3. Sources of information

We collect information directly from you; automatically through websites, cookies, tags and logs; from authorized colleagues or client representatives; from payment and CRM systems; and, where appropriate, from publicly available business sources or advertising and analytics platforms.

4. Purposes for processing

Respond to inquiries, evaluate prospective projects, provide quotes, communicate and manage business relationships.

Provide contracted services, manage access, invoices, payments, customer support, troubleshooting, and service administration.

Operate, secure, monitor, and improve our websites, systems, marketing performance, and user experience.

Measure advertising conversions, understand campaign effectiveness, conduct analytics, and, where configured and legally permitted, perform remarketing or audience measurement.

Send newsletters, service announcements, and promotional communications consistent with applicable consent and opt-out requirements.

Use appropriately selected AI-assisted systems for research, summarization, drafting, support, analysis, or project work, subject to confidentiality, vendor controls, contractual obligations, and applicable law.

Prevent fraud and abuse, enforce agreements, comply with law, resolve disputes, and maintain necessary business records.

5. Analytics, advertising and tracking

Our website uses Google Analytics 4 and Google Tag Manager, Google Ads conversion or remarketing technologies, Meta Pixel, and other tracking tools. Depending on configuration, these services may receive identifiers, device information, browsing events, conversion signals, and related data and may use cookies or similar technologies. Google Tag Manager is a tag-management system; the tags configured through it determine what information is transmitted.

Advertising platforms may use collected information for measurement, attribution, audience creation, personalization, or cross-site advertising in accordance with their settings and policies. Some such disclosures may qualify as “sharing” for cross-context behavioral advertising or targeted advertising under applicable privacy laws even where we do not receive money for the information. We do not state categorically that no “sale” or “sharing” occurs until the implemented tags and legal applicability are verified.

We do not currently operate a general cookie-consent banner or cookie preference center. Visitors can use browser privacy settings and applicable advertising-platform controls. Where a specific law applies and requires prior consent, an opt-out mechanism, or recognition of an applicable privacy preference signal, we will provide the legally required mechanism or adjust the relevant tracking practices. Publication of this notice does not itself provide a consent or opt-out mechanism.

6. Cookies and similar technologies

Cookies, pixels, local storage, scripts, and similar tools may be used for essential site functions, security, analytics, performance measurement, and advertising. They may be set by us or providers such as Google and Meta. Visitors may limit cookies using browser settings and advertising choices available from relevant providers. Disabling cookies may affect some website functions. Additional information may be provided in a separate Cookie Policy.

7. AI-assisted tools and safeguards

We may use AI services from major technology providers, including OpenAI (ChatGPT), Microsoft (Copilot/Azure AI), Google (Gemini), Anthropic (Claude), Adobe (Firefly), and other comparable providers, as available and appropriate. This is an illustrative list, not a statement that every named service is currently used. Information submitted to these services may be processed under their applicable terms, privacy practices, and account configurations. We may change providers as technologies and business needs evolve.

We seek to limit personal information provided to AI tools to what is reasonably necessary, use suitable business configurations and access controls where available, and avoid uploading unnecessary sensitive information. We do not promise that every AI provider applies identical retention or model-training rules; vendor-specific arrangements must be reviewed.

If we process information for a client, any use of AI tools must also comply with applicable client instructions, confidentiality commitments, and data-processing terms.

8. When information is disclosed

Service providers and contractors: website hosts, infrastructure and security providers, CRM and email platforms, analytics and advertising vendors, payment processors such as Stripe, and AI and productivity vendors where used.

Authorized business partners or client-directed recipients where needed to provide a requested service.

Professional advisers, auditors, insurers, or transaction counterparties subject to appropriate safeguards.

Regulators, law enforcement, courts, or other parties where legally required, or where reasonably necessary to protect rights, safety, and security.

Successors in a merger, restructuring, financing, acquisition, or asset transfer, subject to applicable requirements.

We do not claim that every disclosure is a sale of personal information; whether a particular disclosure is legally classified as a sale, sharing, or targeted advertising depends on the facts and applicable law. We do not sell contact lists for cash as a standalone business practice, subject to verification before publication.

9. Payments

Payments may be processed by Stripe. When a payment is made through Stripe-hosted or integrated payment tools, Stripe may collect payment-card and authentication information directly, and we may receive transaction status, identifiers, billing information, and limited card details needed for administration. Stripe’s processing is governed by its applicable privacy notices and contractual terms. Do not submit card numbers through general website forms or ordinary email.

10. Marketing communications

We may send newsletters and promotional emails. Marketing messages will include an appropriate unsubscribe mechanism and required sender identification. We will honor valid opt-out requests within the legally required period; unsubscribing from marketing does not prevent essential service, billing, security, or contractual notices.

Submitting a general contact inquiry does not, by itself, represent an agreement to receive every marketing campaign. Any marketing subscription, consent, or other lawful basis must reflect the actual collection process and applicable law.

11. Retention

We retain information only as reasonably necessary for the purposes described, including service delivery, security, legal compliance, accounting, recordkeeping, dispute resolution, and legitimate business operations. Different categories may have different retention periods based on contractual needs, tax or legal obligations, and vendor settings.

We do not promise a uniform deletion period or immediate erasure from backups. When information is no longer needed, we will delete, de-identify, or securely retain it as appropriate and subject to applicable requirements. A detailed retention schedule should be adopted internally and reflected in this policy if legally required.

12. Information security

We use commercially reasonable administrative, technical, and organizational safeguards appropriate to the information and services involved. These may include access controls, secure connections, vendor protections, and security monitoring. No website, email transmission, storage system, or third-party service can be guaranteed completely secure. We assess and respond to incidents in accordance with applicable legal and contractual requirements.

13. Privacy rights and choices

Depending on your location and which privacy laws apply to us, you may have rights to request access, confirmation, correction, deletion, portability, or information about certain disclosures; to opt out of targeted advertising or qualifying sales/sharing; to limit certain uses of sensitive information; and to appeal a denied request. Some rights are subject to exceptions, verification, and statutory applicability thresholds.

You may contact us using the method in Section 18. We may need to verify identity or authority before fulfilling a request. We will respond within legally required timeframes where applicable and will not unlawfully discriminate against you for exercising privacy rights.

We do not currently provide a website-wide cookie consent banner or preference center. Visitors may use browser privacy controls and the advertising choices offered by Google, Meta, and other applicable providers. If a law applicable to a particular visitor or processing activity requires a specific opt-out, consent method, or recognized preference signal, we will honor those requirements as applicable. Privacy requests may be sent to This email address is being protected from spambots. You need JavaScript enabled to view it..

14. International visitors and transfers

We are based in the United States, and information may be processed in the United States or other countries where our authorized providers operate. Where an applicable law requires a specific lawful transfer mechanism, additional disclosures, or other safeguards, we will use the required arrangements. We do not represent that this website is specifically directed to every international jurisdiction.

15. Children

Our agency website and professional services are intended for businesses and adults, not children under 13. We do not knowingly solicit personal information directly from children under 13 through this website. If you believe a child has provided personal information, contact us so we can review and take appropriate action. This statement does not substitute for child-specific compliance requirements applicable to separate client websites.

16. Third-party links and embedded services

Links, social widgets, embedded media, maps, and external services may be operated by independent third parties. Their privacy practices are governed by their own notices. We encourage you to review those notices before sharing information.

17. Changes to this policy

We may update this policy to reflect changes in technology, vendors, business practices, or law. We will publish the revised version and effective date on this page and provide additional notice or obtain consent where required. Changes do not automatically alter separately signed client contracts or applicable data-processing terms.
